Because you don’t have to be the same, Be Better…PAZO update 8.3

Mobile App

Alert!!! – Open Flags on submit checklist 

  • In case, from your previous submitted checklist, if the flag is open & unresolved (either not marked as resolved manually or an issue raised on the flag is not completed) then there is a flag icon on the submit checklist page
  • An alert will pop up, on clicking the flag icon on the question for which the flag was raised, on the submit checklist page- the checklist report details of the last submitted checklist schedule will be shown on the popup screen:
    • Schedule Name
    • Flagged question and answer
    • Checklist ID
    • Submitted by: <username> <date & time>
  • The above feature will work only online 
    • Flag alert will be shown only if the checklist schedule was submitted within 2 months. 

Robust Checklist reviews with review comments and scores

  • Reviewers can comment & give review scores for questions on the checklists submitted
  • Any reviewer can review comments without any setting whereas review scores can only be given when a setting ‘Allow reviewer to score’ is enabled on the Add checklist page on the web app
  • To give a review score or a review comment, the user must click on ‘Mark as reviewed’/’Review again’ button(s) to save the review details
    • The checklist will be marked as successfully reviewed only when it is ‘Marked as reviewed’
  • One user can give multiple review comments & review comments for a question if he/she has the user permissions for reviewing a checklist 
  • A reviewer can give a maximum of 10 & a minimum 0 as a score. However, the default score is 10 for every question which the reviewer can change and submit.
    • A question can be ignored from review scoring by giving -1 as a score on the question review score 
      • If a -1 is given as a review score then for that question, each time -1 will be retained (until changed manually) as the default score for all new checklist submissions
  • Review Scores will be shown on the checklist reports page 

Note: Review score & review comment options will not be present for discarded drafts reports

Unique ID for Unique Tasks

  • Since it’s difficult to identify or track an approval/task based on the name, date created as there were several tasks with the same name, user  and date.

Therefore, to remove the ambiguity, an ID similar to checklist ID and issue ID is added for all the newly created tasks/approvals/questions. This unique ID will be in the format of K323834. This ID will be shown on:

  • Tasks list screen & particular tasks screen 
  • Tasks PDF download from the web
  • Tasks XLS download from the web
  • Tasks sent via mail from the mobile app

Attach reference documents for each question in a checklist

  • Users can view a supporting reference document, such as an SOP related to the current question in a checklist if added on the reference section of the question in add checklist page on the web app
  • Users can view these documents on the respective question while filling a checklist: If the documents are present, they will be shown on the question reference pop-up

View group description, checklist description and schedule description

Group description will be displayed on the submit checklist page and the checklist reports page at the beginning of each group/section. It can be viewed by clicking on the “i” icon present right after the group name.

  • The checklist description can be viewed on the submit checklist page & submitted checklist reports page by clicking on the “i” icon present on top right on the web app as well as a mobile app
  • Schedule description can be viewed on the submit checklist page & submitted checklist reports page by clicking on the “i” icon present on top right on the web app as well as the mobile app 
  • Along with the checklist & schedule description following details are also added and can be viewed on the reports page:
    • Store name, store code, geotag with the area, checklist ID, time is taken to fill the checklist, number of times a checklist has been reviewed, submitted by:<username><date & time>

Geo-fencing alert for our android users

  • Now, users can identify their current location on the map when  ‘Record GPS location’ is enabled in settings on the schedule page on the web app.
  • Ideally, the user’s location must be within the geofence. Geo-fence is represented on a map in a purple-colored circle. 
  • The Geo-fence area will only be shown when the user is within 100 M radius of the actual site coordinates. The user can check if they are filling the checklist from the right place to avoid flagged reports.
  • If the checklist is submitted from outside the geofence area, it will be highlighted on: 
    • Checklist reports – as an icon, a red color location icon will be present on checklist reports, hovering on the icon will display a message- “This checklist was submitted from outside the Site Coordinates”
    • View checklist page – as an icon, a red color location icon will be present (Hover on the icon to display a message- “This checklist was submitted from outside the Site Coordinates”
    • Checklists excel export: One extra column is added: ‘Outside site coordinates’: if the Checklist is submitted from outside site coordinates it will refer Yes otherwise No.

Note- This feature is applicable only if the site coordinates are given properly otherwise if the site coordinates are not given or wrong, the geo-fencing will not work and the checklist report will be flagged off.

Web App

Robust Checklist reviews with review comments and scores

  • Reviewers can comment & give review scores for questions on the checklists submitted.
  • Any reviewer can give review comments without any setting whereas review scores can only be given when a setting ‘Allow reviewer to score’ is enabled on the Add checklist page on the web app
  • To give a review score or a review comment, the user must click on ‘Mark as reviewed’/’Review again’ button(s) to save the review details
    • The checklist will be marked as successfully reviewed only when it is ‘Marked as reviewed’
  • One user can give multiple review comments & review comments for a question if he/she has the user permissions for reviewing a checklist 
  • In case the setting – ‘Allow reviewers to score’ is disabled after a checklist has been submitted then:
    • All the future checklist submissions will not have an option to give a review score
    • All the reviewers will still be able to give review scores & comments for an already submitted report
  • A reviewer can give a maximum of 10 & a minimum 0 as a score. However, the default score is 10 for every question which the reviewer can change and submit.
    • A question can be ignored from review scoring by giving -1 as a score on the question review score 
    • If a -1 is given as a review score then for that question, each time -1 will be retained (until changed manually) as the default score for all new checklist submissions

Department escalations can now be added for all sites at once 

  • Now, there is an option for bulk assigning escalations to multiple sites on the department escalations page

If a site already has an escalation assigned to it then newly assigned escalations from bulk assign will be added along with the older escalations 

While assigning the escalations, a user can choose site groups, multiple sites, all sites as options. The sites on bulk escalations (pop-up window) will be shown according to user permissions.

Attach files, raise issue & add comments while submitting a checklist from web

Now, when users submit a checklist from the web, they can raise issues, comment on a question & attachfiles(.pdf, .docx, .xlsx, .pptx, .txt, .jpeg, .png) on the attachment section. Max. 3 attachments are allowed altogether.

A new raise issue option is present for all questions on the checklist submit. Clicking on raise issue redirects to the raise issue page with issue details such as Issue name, department, location, due in being pre-filled.

  • When users click on the attachment, they can view a new pop up where users can:
    • attach any type of files such as doc, pdf, ppt, xlsx, txt, jpg, png
    • Put the manual comments on a question and view the previous comments
  • Attachments can be seen on:
    • Web App:
      • Checklist reports page 
      • Checklists excel export
      • All the images from attachments will be shown on the gallery
  • The maximum file size allowed for any type of attachment is 10 MB

Alert when GPS coordinates do not match the Site Coordinates

  • Now, if a checklist is submitted from outside the site radius (i.e. more than 100 m), an alert will be shown on checklist reports, view checklist page and Checklist excel report. The alert will be shown on:
    • Checklist reports – as an icon, a red color location icon will be present on checklist reports, hovering on the icon will display a message- “This checklist was submitted from outside the Site Coordinates”
    • View checklist page – as an icon, a red color location icon will be present (Hover on the icon to display a message- “This checklist was submitted from outside the Site Coordinates”
    • Checklists excel export: One extra column is added: ‘Outside site coordinates’: if the Checklist is submitted from outside site coordinates it will refer Yes otherwise No.

  • Similarly, there is a provision to add:
    • checklist description- can be added on add checklist page
      • The checklist description can be viewed on the submit checklist page & submitted checklist reports page by clicking on the “i” icon present on top right on the web app as well as a mobile app
    • Schedule description- can be added on the add schedules page 
      • Schedule description can be viewed on the submit checklist page & submitted checklist reports page by clicking on the “i” icon present on top right on the web app as well as the mobile app
